Other Leave Policy for Research Students

1. Preamble

1.1 Birkbeck, University of London (the College) values the diversity of its student community and is committed to providing an inclusive, supportive environment, in which all students and their families, regardless of background, can achieve their full potential and are welcomed.

1.2 Please note, for any student attending Birkbeck on a student visa, advice should be sought from ISA and the rules of the visa take precedence over and College or Funder policies.

2. Sick leave

2.1 Students who are unwell and unable to study may take sick leave. Students should inform their supervisor and Faculty PGR Support Manager as soon as possible about any sickness absence to ensure their wellbeing and academic progress are supported. Where the period of absence extends beyond five consecutive days medical documentation should be provided.

2.2 Students experiencing short-term, self-limiting illnesses which are not covered by medical certificates, should not apply for paid sick leave. Their usual stipend payments will continue as normal and no funded extension will be provided. If the illness extends beyond 13 weeks within a rolling 12-month period, the studentship will be suspended for the additional period via the break in study process.

2.3 Where this is in line with funders rules, the College will continue to pay the stipend for absences covered by a medical certificate for up to 13 weeks within a rolling 12-month period.

3. Annual leave

3.1 All students are entitled to reasonable paid annual leave during their studentship, which equates to 25 days annual leave, plus College closure days and bank holidays. This leave is pro-rated for part-time students and must be taken within the existing timeframe of the studentship.

3.2 Students working with external partners should consider their obligations when planning leave. Students are encouraged to discuss their leave plans with their supervisor to ensure continuity of their research.

4. Emergency and compassionate leave

4.1 The College understands that students may face emergencies or bereavement during their studies. Students may request short-term leave for such circumstances. Many sponsors support bereaved parents to take two weeks of paid leave in the event of the death of a child under 18 years of age.

4.2 Other emergencies or compassionate circumstances may warrant up to five days of paid leave, depending on individual needs.

4.3 Students are encouraged to speak with their supervisor and Faculty PGR Support Manager to arrange appropriate support and leave.
