Email services

Birkbeck provides access to email services for students and staff. Staff email is provided via Microsoft Exchange and student email is provided by Birkbeck via Google's Gmail service. 

If you have a problem with your Birkbeck email or need support, ask us at Birkbeck staff should raise an Ask request in My Birkbeck for Staff.

Staff email

  • Staff email is provided via Microsoft Exchange, which gives you access to Microsoft Outlook, including a calendar, task lists and shared folders
  • Your automatically generated email address is usually You can find email addresses for all members of staff in the online Staff Directory, in My Birkbeck for Staff.  
  • You can access your staff email account outside of Birkbeck via the Microsoft Outlook Web App (webmail). You will need to log in using your ITS username and password.
  • The default mail quota size is 250MB, which can be increased on request.
  • Role-based email accounts and shared email accounts can be set up for staff, which can be helpful for departmental contact addresses and for emails to groups of staff who are part of a research centre/institute, or a project. You can request a shared email account via My Birkbeck for Staff
  • When you leave Birkbeck, we will close your email account, but we can, on request, redirect emails sent to your Birkbeck account to a different email address. 
  • Staff should familiarise themselves with Birkbeck's Policy on Staff Use of Email, Internet, and Telephone Facilities

Student email 

  • You should provide us with an up-to-date email address via your My Birkbeck profile, as this is where we will send all important College email correspondence. You can change or update this email address at any time. 
  • If you would like to have a Birkbeck student email account, provided via Google's Gmail service, you can request this in My Birkbeck (select 'Manage' and then 'My Birkbeck User and Email Account'). The default format for email addresses is Please note as part of the process of setting up your Birkbeck student email account you will need to change your password.
  • After your Birkbeck Gmail account is set up, you can amend your contact details, via My Birkbeck, if you would like us to send important College communications to your Birkbeck Gmail account.
