Internal AV Collection Process

Portable equipment

This refers to any equipment that is not fixed in teaching rooms, the most common examples of which are laptops and microphones. When items of portable equipment have been booked it is necessary for the client to collect them from the reception of the building that they are in. The items will be available 30 minutes before the booking is scheduled to commence.

The process by which the equipment can be collected is as follows:

  • Client quotes booking details and room number to duty attendant at reception.
  • Client then signs the AV equipment loan form. At this point the responsibility for the return of the equipment in an undamaged state passes to the client.
  • Once the event has been completed the client returns the equipment to the attendant at reception and collects a signed equipment return receipt, to indicate the return of the equipment in an undamaged state.

N.B. equipment should not be left unattended at any time. If there are breaks in the event when the equipment will not be supervised, then it should be returned to reception for the duration of that period.
