Text message (SMS) alert system with easy web interface

The ITS Web Team have a contract with an SMS gateway provider that enables us to receive text messages using a keyword (bbk) via a short code number (60300) and to send text messages out to groups of people.  Details of existing text alert services available to staff and students can be found here

A simple web interface template has been created that can be offered to any School or Department that requests it for the sending of alert messages to groups of students on a per module basis, to which students subscribe themselves via text message.  Although ITS currently cover all costs associated with this service, should the level of use increase significantly it is likely that Schools and Departments will be internally billed on an annual basis for their use of the system (currently at a rate of 6p + VAT per outgoing SMS).  If a School or Department (the client) would like to start using this service, the procedure to be followed is set out below.

  1. The client contacts the Web Manager (a.tribe@bbk.ac.uk, 020 7380 3190) to discuss their request.  This contact should be made at least 3 months prior to the desired start date.

  2. The Web Manager works with ITS colleagues to configure the necessary data transfer mechanisms between SITS and the web server to enable module enrolment numbers to be updated automatically on a daily basis, and creates the web interface for the client using an agreed colour scheme.

  3. The Web Manager trains the relevant client staff in the use of the web interface and the client staff test the subscribe and unsubscribe operations and the sending interface, reporting any problems to the Web Manager.

  4. The Web Manager addresses any problems raised by the client.

  5. The client carries out final checks and signs off the system.

  6. The Web Manager provides example publicity material for the client’s use in making the service known among students and monitors the service immediately following its launch to watch for any technical problems, dealing with them as necessary.

  7. If the client has been notified that ITS will be invoicing them for use of the service, the costs will be calculated and billed during the summer vacation following the commencement of the service.
