Conference booking form with online credit/debit card payment
We (the ITS Web Team) are able to create secure booking forms incorporating online credit/debit card payment facilities for Schools or Departments that are running conferences and other events. The procedure that we would expect to follow when developing such a form for an event organiser (the client) is set out below.
- The client contacts the Web Manager (a.tribe@bbk.ac.uk, 020 7380 3190) to discuss the booking form requirements. This contact must be made at least 3 months prior to the required form go-live date (not the event date).
- The Web Manager meets face-to-face with the client if appropriate to determine the full details of the requirement, or receives these details via email. The minimum information that is required is as follows: Event title; event date(s) and booking cut-off date; venue and venue accessibility information; ticketing options and prices; maximum attendance numbers/venue capacity; administrator/organiser contact details; cancellations and refunds policy; data protection/privacy statement; Birkbeck income account code; event web site details; and confirmation that the creation of this online booking facility has been approved by the Income Accountant in the Finance Office.
- A member of the Web Team (currently the Web Manager) creates the booking form and associated scripts on Birkbeck’s secure server, matching the design of the event web site as closely as possible, which is expected to be part of the appropriate School/Department web site.
- The client tests the form and reports any problems/issues to the Web Manager.
- The Web Manager addresses any problems/issues raised by the client.
- The client carries out final tests on the form and then signs it off.
- The Web Manager sets the form live and monitors the technical operation of the form throughout the booking period. The client informs the Web Manager of any difficulties or problems encountered by users of the form as soon as they receive such reports so that they can be investigated and addressed.
