Email FAQ

How do I forward my mail to another account?
Visit the forwarding and vacation email pages where you will login and complete a form.

How do I set up a vacation email for when I am away?
Webmail users should visit the forwarding and vacation email pages; Outlook/Exchange users should click on "tools, then "out of office assistant" within Outlook.

What's my Birkbeck email address (students) ?
Your ITS username, followed by @students.bbk.ac.uk, eg jblog01@students.bbk.ac.uk

Someone sent me an email but I didn't get it?
The most common reason for non-delivery is the address has been entered incorrectly. Other reasons might be that you had exceeded your disk quota (though you would be prevented from sending before receiving messages is blocked), or even that the message was deleted before reading. In very rare cases the spam filters may have blocked the message, in which case you can download the message from the quarantine. Contact ITS-systems@bbk.ac.uk with details of time and sending address and we can track the message if it reached Birkbeck systems.

I sent an email but it isn't in my sent folder?
Email client is misconfigured, or the message is located somewhere other than the expected location.

Why isn't my email address inital.surname@bbk.ac.uk?
At present (though under review in 2007) the HR system allocates @bbk.ac.uk addresses, so if you are not in the staff system you may not have the @bbk.ac.uk alias.

An email someone sent me  has gone missing, can I get it back?
It depends when it was sent. Exchange and Webmail systems have trash folders which allow the recovery of recently deleted email. If you are using other mail clients, then this may not be possible. Backups are not available to restore individual mail messages (or mailboxes in the event that a badly configured client empties a mailbox).

How do I create an archive file?
See document 9.84, archiving in Outlook 2003.

What is my mail quota and how do I increase it?
The default mail quota is 50Mb, which can be increased on request using the service request form. The reason for the quota is to encourage users to manage their mailboxes - frequently, a large proportion of  the space occupied is taken by a small number of messages, some of which don't need to be retained.

I can't login to the Outlook Web Access service?
Please ensure that you are including the domain in the "Domain/Username" box - eg ccsacademic/ub...

How do I configure an IMAP/POP client at home?
This is not recommended, but details of the server names that are required are available in the unsupported clients section.
