New Events system to go live on Wednesday 4th July - please do not create events from 9 am Monday

We are about to release our new Events system which will replace the current way you create events on the Birkbeck websites. The new system will go live on Wednesday 4th July. In preparation for the launch we will need the editors of affected Birkbeck websites to stop adding or editing events from 09:00 on Monday 2nd July until the new system is up and running. We hope to have the new system up by 13.00 on Wednesday 4th July.

At the bottom of this message you will find a list of all the sites that are affected. Please do not add or edit any events on any of the affected sites after 09:00 on Monday 2nd July until you are notified that the system can be used again. Any additions or edits made after that time will be lost. Events that you have created will still be visible and you will still be able to edit the rest of your site as usual.

The reason for this change is that we need to have an in house system for events that can be used instead of third party systems such as Eventbrite, particularly in the light of changes to data protection legislation. The launch next week is phase one of this process. We will be replacing the existing Plone event creation system with one with the same functionality that you will access through My Birkbeck for Staff. Once this is in place we will then be developing the new system to include booking management, paid-for booking and waiting lists. We will also be incorporating the academic development workshops calendar and integrating the new events system with room bookings.

Please make sure you finish any work you need to do on any events before 09:00 on Monday 2nd July.

A reminder will be sent out on Monday 2nd July, then we will let you know as soon as the new system is ready for you to use on Wednesday 4th July. We will send you a link to a video which will show you how to go about creating and editing events in the new system.  If we cannot go live with the new system on Wednesday July 4th we will let you know.
