Grade 2–8: Professional & Support Posts and all other Research Posts (includes temporary or agency staff)
All requests for professional & support posts (Grade 2–8) and all other research posts (Grade 6-8), including temporary or agency staff posts, need to be made by completing the staff expenditure authorisation form. This form will normally be completed by a member of the senior management team within a school/department.
- Requests, where the request involves a net increase in spend greater than £5,000 within a 12 month period, should be forwarded to the School Manager/Director for confirmation of funding, and then on to the Executive Dean/College Secretary for authorisation. The form should then be sent to HR for validation and then this will be sent to the Master, for authorisation on behalf of the Strategic Planning Committee (SPC). The Masters office will notify the Executive Dean/College Secretary and HR of the outcome.
- Requests from an academic school or department, where the request does not involve a net increase in spend greater than £5,000 within a 12 month period, should be forwarded to the School Manager for confirmation of funding, and then on to the Executive Dean/College Secretary for authorisation. The form should then be sent to HR for validation and action (without further referral to the SPC).
- Requests from a Professional Services department, where the request does not involve a net increase in spend greater than £5,000 within a 12 month period, should be forwarded to the Director for confirmation of funding and authorisation. The form should then be sent to HR for validation and action (without further referral to the SPC).
- Requests that involve School Research Grant Funding do not require authorisation from the SPC, even if they involve a net increase in spend greater than £5,000*
When completing the form please demonstrate the following in section 4, entitled ‘Justification’:
- requests must demonstrate that they are in keeping with the school/departments strategic plan;
- there is an urgent need which makes it imperative to make the requested appointment or change immediately rather than defer to the regular annual planning and resource allocation round.
